These Terms and Conditions (“Terms”) govern your use of the Fox Barn website (“Website”) and your booking of accommodation at Fox Barn (“Accommodation”).
1. Booking and Payment
- Booking Process: Bookings can be made securely online through our website. You will be required to provide your full name, contact information, and a valid payment method.
- Minimum Age Requirement: Guests must be at least 18 years old to book Fox Barn Cottage. A valid photo ID may be requested upon booking confirmation.
- Payment Methods: We accept secure online payments via Credit or Debit card processed through Stripe.
Deposit & Payment Schedule:
- A deposit of 30% of the full stay will be charged from the credit/debit card you provide at the time of booking.
- For bookings made within 14 days of the check-in date, full payment will be required at the time of booking.
Cancellation Policy:
- Cancellations made before 14 days of your arrival date will receive a full refund of the deposit paid.
- Changes or cancellations made within 14 days of your arrival date will incur a charge of 100% of the total booking amount.
Change of Date Policy:
- The option to change your booking arrival date is available up to 7 days prior to arrival. We will do our best to accommodate your request subject to availability. Any difference in rates due to the new chosen dates will apply.
- Unfortunately, changes to your booking arrival date are not possible within 7 days of arrival.
Confirmation: Once your booking is confirmed and payment is processed, you will receive a confirmation email with a summary of your reservation details, including arrival and departure dates, guest names, total amount paid, and a copy of these Terms & Conditions.
2. Guest Occupancy & Behaviour
- Maximum Occupancy: The maximum occupancy for Fox Barn Cottage is 4 guests. This includes children of all ages. Exceeding this limit without our prior knowledge and acceptance is strictly prohibited without our permission.
- Overnight Guests: Only registered guests are permitted to stay overnight at the cottage. Visitors are welcome during the day, but the total number of people on the property must not exceed the maximum occupancy at any given time.
- Smoking: Smoking is not permitted inside the cottage. Guests who disregard this policy and smoke indoors will be charged a cleaning fee of £100. Please dispose of cigarette butts responsibly.
- Parties & Gatherings: Fox Barn Cottage is intended for a relaxing holiday experience. Parties or gatherings exceeding the booked occupancy are strictly prohibited. This includes loud music, excessive noise, or any activity that may disturb the neighbours. A breach of this policy will result in a charge of £500.
- Respectful Behaviour: We expect guests to be respectful of the neighbours and maintain a reasonable noise level, especially during evening and night hours (generally between 22:00 and 08:00). Anti-social behaviour or unreasonable noise disturbances will not be tolerated.
- Local Laws & Regulations: Guests are responsible for complying with all applicable laws and regulations during their stay.
Enforcement of Terms: We reserve the right to take appropriate action, including requesting guests to leave the property immediately without refund, in case of any breach of these terms and conditions. Charges outlined above will be applied for violations.
3. Guest Responsibilities
Care of the Property:
- Guests are responsible for taking good care of Fox Barn Cottage, its furniture, fixtures, and fittings during their stay. This includes using all amenities and equipment responsibly and reporting any breakages or malfunctions immediately to the owner.
- The cottage is to be left in a generally clean and tidy condition upon departure. This includes:
- Hand washing or dishwashing and putting away all dishes and cookware.
- Disposing of cigarette butts responsibly in the designated bins.
- Disposing of any dog waste in the garden.
- Placing all rubbish in the designated bins provided.
- Removing any personal belongings from the property.
- Additional Cleaning Fee: If the cottage requires excessive cleaning beyond reasonable wear and tear upon your departure, an additional cleaning fee of £50 may be charged.
- Lost or Damaged Items: Guests are liable for any loss or damage to the property, its contents, or the surrounding grounds caused by their intentional or negligent behaviour. The cost of replacing or repairing any damaged items will be charged to the guest.
4. Owners Access
Right of Entry
- The owner or their designated representative reserves the right to access Fox Barn Cottage under the following circumstances:
- In case of emergencies (e.g., fire, flood, suspected gas leak) to ensure the safety of the property and occupants.
- To carry out pre-arranged maintenance or repairs (e.g., boiler service, plumbing repairs). Reasonable notice will be provided to guests whenever possible, informing them of the date, time, and expected duration of the access. Guests are encouraged to be flexible and grant access during reasonable hours (e.g., weekdays between 9 am and 5 pm) to minimize disruption to their stay.
- To inspect the property upon reasonable notice to the guests, especially in the following situations:
- Following guest check-out to ensure the property’s condition and contents.
- Between bookings to address any reported maintenance issues or prepare the cottage for incoming guests.
- In very rare circumstances, to address urgent repairs or maintenance concerns that cannot be postponed and require immediate access, even with limited notice to the guests. In such cases, the owner will make all reasonable efforts to minimize disruption to the guests’ stay.
Guest Cooperation:
- Guests are kindly requested to grant the owner or their representative access to the property when necessary, as outlined above.
- Guests should ensure there are no personal belongings blocking access points during the owner’s visit for maintenance or inspections.
Privacy & Security:
- The owner will respect the privacy of the guests and only access occupied portions of the property with the guests’ permission whenever possible.
- The owner will take all reasonable precautions to ensure the security of the property and the guests’ belongings during any access.
Notice:
- The owner will provide guests with reasonable notice (typically 24-48 hours) of their intent to access the property, except in emergency situations.
- Guests can communicate their preferred times for maintenance access if possible.
5. Guest Conduct & Safety
Responsible Behaviour:
- Guests are expected to behave in a responsible manner and comply with all applicable laws and regulations during their stay at Fox Barn Cottage. This includes:
- Respecting the quiet enjoyment of the neighbours by avoiding unreasonable noise, especially during evening and night hours (generally between 22:00 and 08:00).
- Disposing of rubbish responsibly in the designated bins provided.
- Parking vehicles in accordance with local law & regulations, and not obstructing driveways or roadways.
- Not using the property for any illegal or commercial activities.
Safety:
- Guests are responsible for their own safety and the safety of their invitees during their stay.
- The owner is not responsible for any accidents, injuries, or loss of personal belongings that occur during the guest’s stay. It is highly recommended that guests obtain travel insurance to cover these eventualities.
- Fire Safety: Guests are required to familiarize themselves with the location of the fire extinguisher and fire escape plan upon arrival. A copy should be readily available in the cottage. In case of a fire, immediately evacuate the property and call the emergency services on 999.
- Security: Guests are responsible for ensuring the security of the property by locking all doors and windows when leaving the cottage unattended. The owner is not liable for any loss of personal belongings due to guest negligence.
- Barbecue: A barbecue is available for guest use in the garden area. Guests are responsible for using the barbecue safely and responsibly, following all manufacturer’s instructions. Please ensure the barbecue is properly extinguished and cooled before leaving it unattended. Never leave hot coals or embers unattended. Always dispose of ashes responsibly in the designated bin provided.
6. Disclaimer
Accuracy of Information:
- The information and descriptions provided on our website and in any marketing materials regarding Fox Barn Cottage are believed to be accurate at the time of publication. However, the owner cannot be held liable for any errors, omissions, or misrepresentations, whether inadvertent or otherwise.
Amenities & Services:
- The owner reserves the right to alter, amend, or withdraw any amenities or services advertised for Fox Barn Cottage due to unforeseen circumstances or maintenance requirements. In such cases, the owner will make all reasonable efforts to inform guests of any changes before their arrival.
Disruptions & Acts of God:
- The owner is not liable for any disruptions to amenities or services beyond their control, such as power cuts, water outages, internet connectivity issues, or disruptions caused by adverse weather conditions, natural disasters, or acts of God.
Website Availability & Errors:
- The owner is not responsible for the continuous availability of the website or online booking system. Technical difficulties or maintenance may cause temporary interruptions to access. The owner is not liable for any errors or omissions that may occur in the online booking process.
Limitation of Liability:
- The owner’s total liability to any guest in respect of any contractual or non-contractual loss or damage arising in connection with their booking or stay at Fox Barn Cottage shall not exceed the total cost of the booked stay. The owner is not liable for any indirect or consequential loss or damage (including loss of profit, loss of enjoyment, or loss of holiday time).
Governing Law & Jurisdiction:
- These Terms & Conditions are subject to the laws of England and Wales. Any dispute arising in connection with these Terms & Conditions or the guest’s booking at Fox Barn Cottage shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Guest Responsibility to Review Terms:
- It is the guest’s responsibility to carefully review these Terms & Conditions before making a booking at Fox Barn Cottage. Booking a stay constitutes the guest’s acknowledgement that they have read, understood, and agreed to these Terms & Conditions.
Entire Agreement:
- These Terms & Conditions, together with any booking confirmation and any other terms and conditions specifically mentioned, constitute the entire agreement between the owner and the guest regarding their booking at Fox Barn Cottage. They supersede all prior or contemporaneous communications, representations, or agreements, whether oral or written.
7. Acceptance of Terms & Conditions
Booking Confirmation & Agreement:
- By making a booking for Fox Barn Cottage through our website or any authorized channel, the guest acknowledges that they have read, understood, and agree to be bound by these Terms & Conditions in their entirety. These terms apply to all guests staying at the property, including any additional guests included in the booking.
Modifications to Terms & Conditions:
- The owner reserves the right to modify these Terms & Conditions at any time without prior notice. The most current version of the Terms & Conditions will be available on the website and will supersede any previous versions. It is the guest’s responsibility to review the Terms & Conditions before making a booking. Booking a stay after any modifications constitutes the guest’s acceptance of the updated Terms & Conditions.
Severability:
- If any provision of these Terms & Conditions is found to be invalid or unenforceable by a court of law, such provision shall be struck out and the remaining provisions shall remain in full force and effect.
Waiver:
- No waiver by the owner of any breach of these Terms & Conditions by the guest shall be construed as a waiver of any subsequent breach.
Third-Party Rights:
- A person who is not a party to these Terms & Conditions shall have no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of these Terms & Conditions.
Guest Indemnity:
- The guest agrees to indemnify and hold harmless the owner from and against any and all claims, losses, damages, liabilities, costs, and expenses (including legal fees) arising out of or in connection with their breach of these Terms & Conditions or their use of the property.

- These Terms & Conditions are subject to the laws of England and Wales. Any dispute arising in connection with these Terms & Conditions or the guest’s booking at Fox Barn Cottage shall be subject to the exclusive jurisdiction of the courts of England and Wales.
